How it works

How your TourOps Desk works, step by step.

From setting up your agency to the last day of your client's trip: what happens at each stage, what each plan includes, and who does what.

The process

Seven stages, from set-up to wrap-up.

The same process runs on every plan. What changes between plans is how you pay and how fast the desk replies.

  1. 01
    OnboardingOnce, before your first trip

    Set up your agency once

Tell us your destinations, typical travellers and the plan that fits your volume. We set up your voucher and document templates with your logo and contact details, and you approve the look before anything reaches a client.

    • Choose Desk On Demand, a Desk Plan or Rent-an-Agent
    • Brand set-up, one-time $149 (complimentary for founding agencies)
    • Your agency's contacts and after-hours number on file
  2. 02
BriefAny time, the desk is open 24/7

    Send the trip brief

Message the desk on WhatsApp or use the request form. Share what your client wants; if something is missing, the desk asks before quoting.

    • Travel dates, cities and number of travellers
    • Hotel category or budget and room split
    • Services wanted: transfers, rail, attractions, tours
    • Dietary needs: vegetarian, Jain, halal or allergies
  3. 03
Quotation24 h to 4 working h, depending on your plan

    Receive an itemised quote

We shortlist suppliers and build a quote where every hotel, transfer, ticket and tour is a separate line at nett cost, with our desk fee on its own line. You add your margin and present it to your client under your brand.

    • Supplier costs at nett, no markup
    • Desk fee shown separately
    • Two free revisions; a third counts as a new quote
  4. 04
    ApprovalBookings start after your approval

    Approve and confirm

When your client says yes, you approve the quote with the desk. Supplier costs are prepaid; the desk then secures every reservation with local suppliers.

    • Your written approval on the final quote
    • Traveller names exactly as on passports
    • Supplier costs prepaid before booking
  5. 05
    Booking & documentsBefore departure

We book and prepare the documents

Hotels, transfers, rail, attractions and meals are reserved and confirmed. We prepare white-label vouchers, a day-by-day itinerary and any visa support papers on your template.

    • Supplier invoices shared with you
    • Vouchers and itinerary in your agency's name
    • Visa support papers ready to attach
  6. 06
    In-tripAround the clock, every day

    Your travellers are looked after

During the trip, travellers or your agency can call the 24-hour emergency line. Our local team resolves issues with suppliers on the ground and keeps your agency informed.

    • 24-hour line, never metered
    • Changes coordinated locally
    • Update to your agency after every incident
  7. 07
    Wrap-upAfter the trip

    Close the file

After the trip, you receive a short summary of anything that changed, and the booking counts towards your plan allowance only if it was confirmed and not cancelled.

    • Summary of changes shared with your agency
    • Only confirmed, non-cancelled bookings count
    • Ready for the next brief
